 Payroll Encumbrances 

The Calculate Payroll Encumbrances feature is being further enhanced to make it easier to calculate payroll encumbrances and budget for them. Currently a customer must run the first payroll in the fiscal year in order to report encumbrances. We will be making changes to this feature to allow reporting of encumbrances before the Fiscal Year start. We are also adding the ability to encumber position vacancies.

 AP Workflows    

Every organization’s purchasing rules aren’t exactly the same. This is why we’ve created a way that accounts payable items can utilize a workflow when a purchase requisition has not been placed. This functionality will be available in our June 18 release. On Premise, customers will receive a link via email to run the update, and we will be in touch with hosting customers soon after to schedule the update.  New ESS 

A new version of Employee Self Service (ESS) is well underway. We’ve taken customer feedback and combined it with a Cheyenne framework to build upon our current Employee Self Service features and offer new solutions.

New features of the new ESS include uploading documents for requisition requests, viewing district/school policies and employee handbooks, and uploading employee paperwork like voided checks for direct deposit enrollment and changes.

New solutions include 
Online Shopping , which is an eProcurement solution that integrates with many online vendors including Amazon, Walmart, Staples, and other school specialty vendors. Employees utilize an online shopping cart transfer that pulls selected items into a Purchase Requisition within SmartFusion. Once the requisition is approved and a PO is generated in SmartFusion the PO is transmitted directly to the vendor.

Vendor Portal  is also slated for early 2023. This gives vendors a one stop shop to manage account information, view and place a bid, review current and past purchase orders, and upload invoices. This solution will help streamline processes and save your purchasing and accounts payable staff valuable time.  

 SmartFusion Timekeeping APIs 

With the release of the new SmartFusion Timekeeping solution an API is being created. The API will automatically push and pull data between SmartFusion and SmartFusion Timekeeping, which will eliminate the need for a user to manually import and export files between each system.  

 Idea Portal Submissions 

The SmartFusion Idea Portal is available to all SmartFusion users. Here, clients can submit feature and solution requests. These requests are then available for all users to vote on which features they’d like to see added to SmartFusion. From there these requests are reviewed internally during a SmartFusion stakeholders’ meeting. The criterion for acceptance includes user experience benefits and R&D effort. The features and solutions that are deemed to need a significant amount of development will be available in Q1 2023.  Harris Onboarding    

It’s no secret that hiring and onboarding new staff is a challenging task, especially in the current job market. We’ve heard your requests for a SmartFusion on-boarding solution and have begun developing this solution for you. Some of the features include integration with SmartFusion; the ability for new hires to complete state, federal, and organizational new hire forms; the ability to post and view training videos related to on boarding; and, uploading documents for review like employee handbooks, training manuals, etc.
